Add us to your bidder list
Most districts solicit from a maintained vendor list. Tell us your district and the commodity codes you use and we will register through your portal and respond when your custodial solicitation is issued. We track the major bid systems and state portals, but a direct invitation is more reliable than any alert.
Vendor qualification package
Available on request, usually same day: W-9, certificate of insurance with your district named as additional insured on both ongoing and completed operations, waiver of subrogation and primary and non-contributory wording, workers compensation certificate and experience modification rate, background-check policy and the statutory basis we screen to in your state, OSHA bloodborne pathogen exposure control plan and HazCom documentation, safety data sheets for every product proposed, references with contact permission, and our standard transition plan.
How we respond to an RFP
Our proposals carry a work-loading table generated from the estimating model, showing hours by space type at the named APPA service level. If a specification names a level, our hours will support that level — we would rather lose on price than win on a staffing representation we cannot deliver.
We price alternates rather than a single number: Level 2, Level 3 and Level 4 on the same form, with day porter coverage, the summer deep clean and consumables each broken out as separate lines so the evaluation committee can see exactly what each one costs.
Writing the specification
If you are drafting a custodial solicitation, three things will improve every response you get. Publish cleanable square footage by space type rather than gross building area. Name the APPA service level you intend to fund, not the one you wish for. State explicitly whether consumables and equipment are the contractor's or the district's — half the price variance in most bid tabs comes from bidders assuming differently.
Cooperative purchasing
If your district buys through a purchasing cooperative, tell us which one. Co-op vehicles have their own award cycles and we track the open and upcoming solicitations across the major education cooperatives.
